About the role

We are seeking a proactive, detail-oriented Front Desk Manager & Office Coordinator to own the daily operations and front-of-house experience of our Sunnyvale office. You will open the office each morning, greet employees and visitors, keep shared spaces clean and meeting-ready, and coordinate the workplace services that keep the team running smoothly. These include visitors, mail, purchasing, vendors, lunches, and employee events. You will work closely with the Executive Assistant and partner with HR, IT, Finance, and other teams across the company.

This is a highly visible, hands-on role for someone who takes ownership of the details, is comfortable juggling a wide range of responsibilities, and enjoys creating an efficient, welcoming workplace.

What you'll do

  • Manage the front desk and provide reliable on-site coverage Monday through Friday, 8:30 a.m.–5:30 p.m.
  • Open the office each morning and keep shared spaces clean, organized, and meeting-ready.
  • Serve as the primary point of contact for employees, candidates, customers, vendors, and other visitors.
  • Manage visitor registration, badges, and meeting-room coordination.
  • Own incoming and outgoing mail, packages, equipment shipments, and courier coordination.
  • Support the day-to-day operation of the office, including office and kitchen supplies, conference rooms, common areas, maintenance requests, and vendor coordination.
  • Coordinate office purchasing and work with approved vendors for supplies, services, maintenance, and other workplace needs.
  • Coordinate communal lunches, including catering, delivery, setup, and cleanup.
  • Prepare conference rooms and common areas for company meetings, customer meetings, interviews, executive visits, and employee events.
  • Work with janitorial, maintenance, and other service providers, and confirm that services are completed to standard.
  • Support company-wide meetings, team events, celebrations, employee activities, and company swag.
  • Support the physical workplace side of employee onboarding and offboarding, including workspace preparation, badges, welcome materials, office orientation, and coordination with IT.
  • Support visiting employees and guests with workspace preparation and on-site logistics.
  • Coordinate scheduling, communications, supplies, and logistics for company housing used by visiting employees.
  • Provide administrative and operational support for customer visits, company meetings, and other office activities.
  • Partner with the Executive Assistant, HR, IT, Finance, and other teams on workplace needs and projects.
  • Proactively identify office needs and keep the workplace organized, welcoming, functional, and well maintained.

Required Qualifications

  • Reliable availability to work on-site Monday through Friday, 8:30 a.m.–5:30 p.m.
  • 2+ years of experience in office coordination, office management, workplace operations, corporate reception, administrative support, hospitality, or a related role.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Professional presence and strong interpersonal skills.
  • Ability to manage multiple priorities and respond effectively to changing needs.
  • Proactive and service-oriented approach with strong ownership and follow-through.
  • Proficiency with standard business tools such as Microsoft Office, Slack, and Jira, and the ability to learn new systems quickly.
  • Ability to work independently and collaborate effectively across teams.
  • Ability to lift and move packages and office supplies weighing up to approximately 30 pounds.
  • Bachelor's degree preferred.

Preferred Qualifications

  • Bachelor's degree in business, communications, hospitality, operations, or a related field.
  • Experience supporting office or workplace operations in a fast-paced professional environment, such as a technology, engineering, semiconductor, robotics, or startup company.
  • Experience coordinating catering, office events, meetings, vendors, and workplace services.
  • Experience supporting employee onboarding, visitors, and workplace logistics.
  • Experience with shipping, receiving, visitor-management, or workplace-management systems.
