Job Description

Job Purpose

To oversee and streamline the daily operations of the sales support team by coordinating cross-departmental efforts from quotation to final dispatch. The position secures client retention, drives business development support and assists with ensuring departmental sales targets are met effectively.


KEY RESPONSIBILITIES       

  • Coordinate the end-to-end processing of product and equipment orders, ensuring accuracy from quotation to final delivery.
  • Process quotations, delivery notes and invoices in accordance with company pricing and approval policies
  • Serve as the primary bridge between the sales team and key internal departments (Logistics, Finance, and Operations) to ensure product availability and reliable delivery timelines for clients
  • Source quotations as well as procure various non-stock items from local and foreign suppliers.
  • Ensure local purchase invoices and purchase orders are logged and forwarded to accounts payable department.
  • Review delivery note report to ensure invoicing in accordance with company policy and provide status report to operations team monthly.
  • Provide customers with product and service information.
  • Assist with managing and updating the weekly sales pipeline and quotation log to ensure accurate revenue forecasting
  • Oversee accurate data entry of quotations and invoices into customer portals, ensuring compliance.
  • Conduct market research to track competitor pricing.
  • Supervise and mentor the Industrial Customer Service Representative (CSR) to optimize and maintain a seamless order flow.
  • Monitor and analyze telemarketing campaign to track performance metrics and improve lead conversion rates.
  • Maintain and audit the CRM database to ensure data integrity.
  • Assist with generating customer coverage reports weekly for analysis.
  • Demonstrates active adherence to all relevant Health, Safety and Environmental (HSE) policies and procedures, while also promoting HSE awareness.
  • Responsible for Team compliance as it relates to Health, Safety and Environmental (HSE) policies and procedures.
  • Performs other related responsibilities that may be required to enhance the operations of the Company.

 

KNOWLEDGE & EXPERIENCE

  • A minimum of five (5) CSEC/GCE O Level passes, including English Language and Mathematics.
  • A minimum of two (2) years’ experience in Administration or a similar position.
  • Proficiency in the Microsoft Suite of products.
